Collivo lets you keep work private while it is taking shape, share selected items with specific project members, or make work available to everyone in a project. Understanding these areas helps you choose the right place for each file and folder.

Where project work appears

The Files pane separates project work into three areas:
  • contains your personal project work. Other people do not see an item there unless you share it with them.
  • contains work available to people who can access the project.
  • contains private items that another project member shared directly with you.
Sharing one item from does not make the rest of your Private area visible.

Project and item sharing

Sharing a project and sharing a private item serve different purposes: People must belong to your organization before you can add them to a project. The item-sharing dialog searches among existing project members.

Permission levels

When you share a project or private item, choose one of the permission levels shown in the sharing dialog:
  • View — for people who need to read or review the work.
  • Edit — for people who need to change the work.
  • Manage — for people who also need to manage sharing.
Choose the lowest permission level that supports the person’s task. See Manage access for the sharing steps.

Moving work between Private and Shared

Use for drafts and material that is not ready for the project. Use when the work should become part of the project’s common context. Before moving sensitive work into , review who can access the project. Moving an item changes where it is available; it is not the same as sharing one private item with selected people.

AI follows the same access boundary

AI works within your permissions. Project and item permissions determine what you can provide to an agent. Controls such as Hide from AI narrow discovery without changing who can open the item. See AI permissions, context, and privacy for the difference between permissions, context, and AI visibility.
