What this helps you do

A space groups related projects for an ongoing area of work, such as a team, department, or client. Every project belongs to one space. Space membership controls who can see the space and create projects in it. Space Managers can also open and view its projects; other members need project access separately. See Core concepts for how spaces fit with organizations and projects.

Before you start

You have two kinds of space:
  • Personal Space — your own space, named after you. Only you are a member. You can rename it and change its icon, but you cannot add members or delete it.
  • Shared Spaces — spaces you create or are added to, for work with others.
Select Spaces in the sidebar to open All Spaces. Use Search spaces…, the filter (All, Owned, Joined, Public), and the grid or list view to find a space.

Create a space

  1. On All Spaces, select Create New Space.
  2. Enter a Space Name. Add a Description and pick a Color if you want; colors already used by other spaces show how many use them.
  3. Choose whether to turn on Allow people to request access:
    • Off — only people you invite can see and access the space.
    • On — people in your organization can find the space in All Spaces and request access, but they cannot open it until a request is approved.
  4. Select Create Space.
The new space opens on its Projects tab, and you are its Space Manager.

Add projects to a space

On the space’s Projects tab, select Create Project. The project form opens with this space already selected. You can also choose the space when you create a project from anywhere else. The Projects tab shows the projects in the space that you can open. A private project appears only to people it is shared with, and to the space’s managers. Use Search projects… and the grid or list view to find a project. In list view, the More Actions menu offers project actions such as View Details. Share Project and Delete Project require the appropriate project permissions.

Choose member roles

Each member has one space role. Open the Members tab to see your own role and what it lets you do. Only organization admins can make a project public, which lets everyone within the organization view it. Public projects are not published on the internet. See Manage projects. Space Editor and Space Member roles do not by themselves open every project in the space. Share a project with those members when they need to work in it. Space Managers can open and view the space’s projects. Editing, sharing, and deleting a project require the appropriate project permissions; the Space Manager role alone grants viewing access. See Sharing and permissions. Organization admins can open and manage every shared space in the organization, including spaces they are not a member of.

Add and manage members

Space Managers manage membership from the Members tab.
  1. Select Add Member.
  2. Under Invite people, search for people by name or email. You can pick more than one person.
  3. Choose a role. For Space Member, also choose Project access.
  4. Select Invite. New members appear under People with access.
To change someone’s role, select Change on their row, choose the new Role, review what they will be able to do, and select Save. To remove someone, select Remove Member on their row and confirm. They lose access to the space.
A space always needs at least one Space Manager. Add another manager before you change your own role or remove yourself.

Request access to a space

When a space allows access requests, people who are not members see it in All Spaces with a Request access button. After you request access, the button shows Access requested. Space Managers and Space Editors review the request from Requests in the top bar and choose whether to approve it as Space Member or Space Editor. After approval, the space opens normally for the requester.

Change space settings

Space Managers open the Settings tab to change the Name, Description, Color, and Allow people to request access, then select Save Changes. To change the space icon, select the icon box. Pick an icon from the Icon tab, or upload a PNG, JPEG, WebP, or SVG image under 2 MB from the Image tab. The icon saves as soon as you choose it.

Delete a space

A space can be deleted only when it has no projects. Delete its projects first.
  1. Open the space’s Settings tab.
  2. Under Danger Zone, select Delete Space.
  3. Confirm with Delete.
You can also select Delete Space from the space’s … menu on All Spaces. Deleting a space cannot be undone.

Expected result

Your projects are grouped under spaces that match how your team works, each member has the role they need, and members can find the spaces and projects their access allows.

Troubleshooting

  • A space is missing from All Spaces: you are not a member, and the space does not allow access requests. Ask a Space Manager to add you.
  • “You do not have access to this space”: you are not a member, or you were removed. Request access if the space allows it, or ask a Space Manager.
  • A project in the space is missing: clear the search and check your space role. Space Members and Space Editors need project access separately; ask a project manager to review sharing.
  • You cannot see the Settings tab: only Space Managers and organization admins can change space settings.
  • Delete Space fails: the space still has projects. Delete them, then try again.
  • You cannot create a space: ask an organization admin to confirm that you can create spaces in this organization.
