What this helps you do
Collivo lets teammates work in the same project item without passing separate copies back and forth. Depending on the item, people can co-edit directly, review it together with presence indicators, comment on specific content, or ask AI to make supported changes. Shared items update for everyone who has access.
The controls vary by item type. Documents, whiteboards, and kanban boards support direct collaborative editing. Office files, PDFs, images, and other uploaded artifacts can still support shared review, presence, comments, version history, and AI-assisted edits where available. Permission rules remain the same.
Before you start
- Put team content in , or share a private item with the people who need it.
- Give each collaborator the permission level they need. View is read-only; Edit and Manage allow changes.
- Open the item from the same organization and project as your teammates.
Work together on an item
- Open the shared item.
- Check the presence area for other people currently viewing or editing it.
- Make changes directly when the item supports direct editing, or ask AI to make supported edits when that is the better workflow.
- Use comments when you want to discuss a change without editing the content itself. The discussion stays attached to the content, so the reasoning behind a change is still there when someone returns to it later.
In a document, you may see a teammate’s cursor or selection. On a whiteboard, collaborators can work on different parts of the canvas at the same time. On a kanban board, card and column changes appear as the team works. On uploaded files such as Office documents and PDFs, presence and comments help reviewers stay coordinated while people or agents revise the artifact.
Divide the work by section, canvas area, or board column when several people are editing at once. Comments are useful when a decision is still open.
Understand read-only states
An item may open as read-only when:
- Your permission level is View.
- The document is locked while a review is pending.
- Your permissions changed after you opened the item.
- Collivo cannot confirm an editing connection.
If a review lock is active, a banner explains who requested the review. Editors can resume changes after the request is completed or an authorized person unlocks the document.
Expected result
People with edit permissions see one current item, with changes synchronized across their open sessions. Viewers can follow the work without changing it.
Troubleshooting
- A teammate’s changes do not appear: check your connection status, wait briefly, then use the reconnect control or refresh the page.
- You can view but not edit: confirm your project or item permissions and check for a review-lock banner.
- A collaborator is missing from the presence list: ask them to confirm they have the item open and have access to the same project item.
- You see a connection warning: avoid making competing edits until the connection recovers. If it does not, refresh and confirm that your latest changes are present.
