What this helps you do

A project keeps the files, chats, and people for one piece of work together. Use the Projects page to see every project you can open, and the project’s own menus to rename, share, or delete it.

Before you start

What you can do depends on your project role: Everyone with access can open the project’s View Details, Project recap, and AI usage.

Create a project

  1. Select Create New in the sidebar, then New Project. You can also use the button on the Projects page, Create Project on a space’s Projects tab, or New project on Home.
  2. Enter a Project Name. Collivo checks the name as you type; you cannot reuse a name you already gave another project in the same space.
  3. Add Details, such as the goal, background, or deadline.
  4. Choose the Space the project belongs to. When you start from a space, it is already selected.
  5. Select Submit.
The project opens with a root folder named after it, your Private folder, and the Shared folder. You are its manager. See Sharing and permissions for what each area is for.

Find a project

Select Projects in the sidebar to open All Projects. Projects are listed with the most recently edited first. Each card shows the project’s space and its latest activity.
  • Use Search projects… to filter by name.
  • Use the space filter to show one space’s projects.
  • Switch to list view to see Summary, Space, and Last Edited columns, and sort by them.
  • Select the star on a project to add it to Starred in the sidebar.
A Public badge marks projects that everyone within your organization can view.

Rename a project

  1. Open the project.
  2. Double-click the project name in the top bar.
  3. Type the new name and press Enter. Press Esc to cancel.
The root folder takes the new name, and teammates who have the project open see the change.

Share a project

Open the project’s More options menu in the top bar, or the menu on its card, and select Share Project to invite people and set their roles. See Manage access.

Make a project public

Public means visible within your Collivo organization. Making a project public does not publish it on the internet. Organization admins can open a project to everyone in the organization:
  1. Open Share Project.
  2. Under Organization access, select Make public.
Public access lets people in the organization open the project and view its Shared folder. It does not grant editing permission. Private items still require their own sharing. Select Make private to turn off organization-wide viewing.

Delete a project

Deleting a project permanently removes its chats, documents, and uploaded files. It cannot be undone.
  1. On All Projects, open the project card’s menu and select Delete Project. The same option is in the project’s menu under Starred.
  2. Read the confirmation, then select Delete Project.
To delete several projects at once, switch to list view, select the projects, and select Delete. Collivo deletes only the projects you are allowed to delete and tells you how many it skipped.

Expected result

You can find any project you have access to, keep its name and access current, and remove projects that are finished.

Troubleshooting

  • The project name is not accepted: you already have a project with that name in the chosen space. Change the name or the space.
  • No space is available in the form: you are not a member of a space where you can create projects. Ask a Space Manager to add you, or see Spaces.
  • You cannot rename, share, or delete a project: these need the project manager role. Ask a manager of the project.
  • Make public is unavailable: only organization admins can change a project’s visibility.
  • A project still appears after deletion: check the deletion result, refresh the list, and confirm that you have Manage permission. Contact support if a confirmed deletion does not take effect.
  • A project is missing from All Projects: check the search and space filters, confirm the selected organization, and ask a project manager to review your access. You can also request access from the project link when offered.
