What this helps you do

Uploaded files open in a preview inside the project, so you can read, search, and comment on them without downloading. Previews are read-only. This page covers what each preview can do, its limits, and how to edit a file in its own app.

Edit an Office file in its own app

Word, PowerPoint, and Excel files can’t be edited inside Collivo. To change one, open the toolbar’s File Actions menu and choose:
  • Download — saves the original file to your computer.
  • Open in Google Docs, Sheets, or Slides, or Open in Word, Excel, or PowerPoint — opens the file in a connected Google or Microsoft account.
Open in saves a copy to a Collivo folder in your connected account. Changes you make there stay in that copy. To bring them back, upload or import the edited file into the project. See Upload and organize files. If no account is connected, Collivo asks you to connect one first.

Search and select in a PDF

  • Press Ctrl / Cmd + F inside a PDF to search the PDF itself, instead of the browser. Use Match Case to narrow results.
  • Switch between Scroll View and Page View (one page at a time, with arrow keys) in the toolbar. PDFs with bookmarks also show a Table of Contents.
  • To copy or comment on text, select it from one page at a time. Use Add visual comment to comment on a region, such as a chart or table.
Scanned PDFs are pictures of pages, so their text cannot be searched or selected. Use a PDF that has a text layer if you need to search it, quote it, or rely on the AI reading it closely.

Work with spreadsheets and CSV files

Excel files show every sheet as a tab, with the workbook’s formatting, number formats, and merged cells. Select Add comment, then a cell or range, to leave feedback on exact cells. CSV files open as a table you can search, filter by column, and sort by selecting a column header. Your sort is remembered in this browser. Download CSV always downloads the whole file, not only the rows you filtered. Very large spreadsheets have limits:
  • Workbooks over 15 MB do not preview. Download the file or open it in its own app.
  • A sheet with more than 50,000 cells shows only its first part, and its tab is marked (truncated).

Mark up an image

Images open with tools to zoom, pan, rotate, and draw: Draw, Arrow, Rectangle, Ellipse, and Text.
Marks you draw on an image are not saved. They disappear when you reload, and Download gives you the original image. To keep feedback on an image, open Toggle Comments and leave a comment there. See Comments and AI-assisted review.

Preview HTML and JSX mockups

HTML and JSX files open in a mockup viewer. Switch between Preview, which renders the page, and Code, which shows the source. On Preview, turn on Element Picker and select part of the page to copy its HTML. For JSX, export a default component or define a component named App, Page, or Main.

Expected result

You can read and search uploaded files in place, leave feedback on exact pages, cells, or regions, and edit Office files in their own app when you need to change them.

Troubleshooting

  • “Preview isn’t available”: the file is too large or could not be converted. Use Download or Open in from the card.
  • Search finds nothing in a PDF: the PDF may be a scan with no text. Search also needs at least two characters.
  • You cannot select text across pages: select from one page at a time.
  • Your image marks disappeared: marks are not saved. Leave a comment from Toggle Comments to keep feedback.
  • A mockup shows an error: the file has a code error, or a JSX file has no supported component to show. Check the file in Code view.
