# Manage Access: Share Projects & Files

> Share projects and private items, and review organization membership.

Use Collivo's sharing controls to give people access to the work they need. Project sharing is for project participation; item sharing is for a specific file or folder in your <PrivateFolder /> area.

## Before you begin

* To share a project, the person must belong to your organization.
* To share a private item, the person must already be a member of the project.
* Choose **View**, **Edit**, or **Manage** according to the work the person needs to do.

## Share a project

1. Open the project.
2. In the project top bar, select the **More options** menu <Icon icon="ellipsis" color="#1F7A5A" />.
3. Select **Share Project**.
4. Under **Invite people**, use **Search people or enter email address** to find the person.
5. Select the permission dropdown and choose **View**, **Edit**, or **Manage**.
6. Select **Invite**.
7. Select **Done**.

The sharing dialog also includes **Copy link** <Icon icon="copy" color="#1F7A5A" />. A copied link does not give someone new permissions; the recipient still needs access to the project.

## Share a private file or folder

1. Open the project and select the **Files** tab <Icon icon="files" color="#1F7A5A" />.
2. Expand <PrivateFolder /> and find the file or folder.
3. Open its sharing control <Icon icon="users" color="#1F7A5A" />.
4. Under **Share with people**, use **Search for project members** to find the person.
5. Select the permission dropdown and choose **View**, **Edit**, or **Manage**.
6. Select **Share**.
7. Select **Done**.

The item remains in your <PrivateFolder /> area. For the recipient, it appears under <SharedWithMe />.

## Review organization members

Organization admins can review members and roles:

1. Select **Settings** <Icon icon="settings" color="#1F7A5A" /> in the sidebar.
2. Under **Organization**, select **User management** <Icon icon="users" color="#1F7A5A" />.
3. Review the member's email address, status, and role in the user table.

The page shows active, pending, available, and total seats. It also provides **Member** and **Admin** role controls.

<Note>
  **Invite User** is unavailable when the organization has no available seats.
</Note>

## Check the result

After sharing:

* A project participant can open the project and its <SharedFolder /> area.
* A person who received a private item can find it under <SharedWithMe />.
* The actions available to that person reflect the assigned permission level.

## If someone cannot find the work

Confirm that they are using the correct organization and project. For a directly shared private item, ask them to check <SharedWithMe /> rather than <SharedFolder />.
