# Set up your organization and first project

> Prepare your Collivo organization, create a project, and invite teammates when you are ready.

Use this guide when you are preparing Collivo for a team or for a project you plan to share. You will confirm your default organization, create a first project, and invite teammates when you are ready.

Collivo creates a default organization for you when you sign up, so you can start working straight away on your own. Bringing in teammates takes two more steps: add them to the organization, then share the projects they need.

## Sign up

Create a Collivo account with your work email, then sign in to open Collivo.

## Review your default organization

After signup, confirm that the organization name matches the company, team, or client environment where you plan to work. If you are working on your own, your own name or business name works well. Your members and projects share this organization as their top-level permissions boundary.

<Note>
  Each account owns a single organization — the default one created at signup. You cannot create additional organizations yet, but you can be invited to others.
</Note>

## Join an existing organization

You can belong to more than one organization: the one you own, plus any you are invited to. If a teammate already manages the organization you should use, ask an admin to add you, using the same email address associated with your Collivo account.

If you expected access but cannot see the organization after signing in, ask an admin to confirm your membership and role.

## Create your first project

A project is where your team works alongside AI on a focused body of work, such as a client engagement, team initiative, research area, or delivery milestone.

1. From the **Home** screen, select **New project**. You will find it in the top bar and in the **Recent projects** section.
2. In **Project Name**, enter a clear, specific name — this is the project's public display name. For example:
   * Acme onboarding
   * Q3 launch plan
   * Security review
3. In **Details** (optional), add the background, current situation, and goals for the project. This context helps both your team and the AI understand the work.
4. Under **Workspace Type**, keep **Standard Workspace** selected for a normal project. Choose **Guided Workspace** only if you want a structured, goal-driven setup flow.
5. Under **Space**, select the space where the project should live — usually the department or team it belongs to.
6. Select **Submit**. Collivo opens the new project with its **Files** pane and chat ready to use.

## Invite teammates

You can use Collivo on your own for as long as you like. When you do want to bring someone in, it takes two steps: first add them to your organization, then share the specific projects they need to work on.

Organization membership lets someone join your Collivo environment. Project permissions control which specific project they can open and what they can do there.

### 1. Add a teammate to your organization

Adding members requires an admin role and an available seat.

1. In the left sidebar, open **Settings**.
2. Under **Organization**, select **User management**. Here you can see your members, their roles, and how many seats are in use.
3. Select **Invite User**.
4. Enter the person's **Email** address.
5. Choose an organization **Role**:
   * **Member** — for most teammates.
   * **Admin** — for people who help manage the organization, its members, and settings.
6. Select **Send Invitation**. Until the person accepts, they appear as **pending** on the User management page.

To change someone's organization role later, use the role dropdown next to their name on the **User management** page.

### 2. Share a project with them

Being in your organization does not automatically give someone access to your projects — each project is private until you share it.

1. Open the project you want to share.
2. In the top-right of the top bar, select the More options menu <Icon icon="ellipsis" color="#1F7A5A" />, then select **Share project**.
3. Under **Invite people**, search for the person by name or enter their email address.
4. Choose their permission level:
   * **View** — read the project without changing it.
   * **Edit** — contribute to and change content.
   * **Manage** — edit and manage permissions for others.
5. Select **Invite**. They now appear under **People with access**.
6. Select **Done**.

You can change or remove someone's permissions anytime from the same dialog, under **People with access**.

The two levels control different things:

| Level | Roles | What it controls |
| - | - | - |
| **Organization** | Member, Admin | Who is in your organization, and who manages its members and settings |
| **Project** | View, Edit, Manage | What someone can do inside a specific project |
