# Generated files

> Find, review, download, and revise what an AI agent creates in your project.

## What this helps you do

Collivo agents can generate a wide range of project assets, including native Collivo files, Office documents (Word, Excel, PowerPoint), PDFs, images, whiteboards, and kanban boards. Once created, these become part of your project, so you can share, version, and manage them like anything else.

How you can interact with them:

| Asset type | View/inspect in Collivo | Agent editing (AI) | Manual editing (human) |
| - | - | - | - |
| Native Collivo files, whiteboards, kanban boards | Yes | Full editing | Full editing in Collivo, in real time |
| Office files (Word, Excel, PowerPoint) | Yes | Full editing | **Download** or **Open in** \* |
| Static files (PDFs, images) | Yes | Creates a new file | View and download only |

<Note>
  **\*** You cannot edit an Office file directly in Collivo, but an agent can update it for you. To edit it yourself, **Download** it, or use **Open in** to work on it in Google Docs, Sheets, or Slides, or in Word, Excel, or PowerPoint. **Open in** puts a copy in your connected cloud account, so import the file again to bring those changes back — see [Upload and organize files](/project-basics/upload-and-organize-files).
</Note>

## Before you start

* Open or start the chat in the folder where the result should live — see [Start a chat](/ai-and-agents/chat-basics#start-a-chat).
* Name the intended format and destination in your request.
* Add the source files to context.
* Keep write tools enabled in the chat toolbar — see [Agents](/ai-and-agents/agent-modes). Collivo may ask for approval before creating or updating content.

## Ask for a file

Give the agent a clear deliverable and destination.

**A clear request**

> Create a five-slide client update from the approved brief and milestone table. Save it as `Client update.pptx` in the `Deliverables` folder.

**Too vague**

> Make a report about the project.

The second leaves the format and the destination open, so you are more likely to get an answer in the chat than a file in your folder.

## Approve the action

When Collivo asks for approval, check the file name, destination, and action before approving. Creating a new file and updating an existing file are different actions; say explicitly which one you want.

## Find and review the result

After the action completes:

1. Open the file reference in the agent's response, or find the file in the **Files** pane.
2. Review the whole deliverable, not only the chat summary or preview.
3. Check names, numbers, formulas, citations, layout, and any business-critical conclusions.
4. If something is wrong, leave comments for AI and ask it to resolve them. See [Comments and AI-assisted review](/collaborate/comments-ai-assisted-review), or [Update a file, or create a new one](#update-a-file-or-create-a-new-one) below.

Generated Office files and PDFs may take a short time to finish processing before their preview and AI-readable content are ready. The original file can still be downloaded when the viewer provides that action.

<Warning>
  AI-generated content can be incomplete or incorrect. Review important files before sharing, publishing, or using them for decisions.
</Warning>

## Update a file, or create a new one

Tell the agent whether to update the existing file or create a separate version. When updating an existing supported file, Collivo keeps its stable project identity and records a new version. Use **Version history** if you need to compare or restore an earlier state.

If you want alternatives to coexist, ask for distinct filenames such as `Proposal - concise.docx` and `Proposal - detailed.docx`.

## Expected result

The generated deliverable appears in the selected project folder and can be handled with the same permissions, comments, sharing, and history as other project files.

## Troubleshooting

* **No file appears:** check whether an approval is still waiting, then ask the agent to confirm the destination and result.
* **The file went to the wrong folder:** move it in the Files pane and set the correct working folder before the next request.
* **A preview is still processing:** wait briefly, then close and reopen the file.
* **The agent created a duplicate instead of updating:** reference the existing file directly and ask to update it in place.
* **The content is wrong:** add the authoritative sources to context and request a specific correction rather than regenerating blindly.
